This Privacy Policy explains how Ranch Command, LLC, a Texas limited liability company (“Ranch Command,” “we,” “us,” or “our”), collects, uses, stores, shares, and protects information when you use Ranch Command.
This Privacy Policy applies to our desktop application, mobile application, website, cloud services, offline-sync features, support tools, and related services (collectively, the “Services”).

1. Overview
Ranch Command is a business-to-business ranch operations platform. The Services may be used by ranch owners, ranch managers, guides, employees, contractors, and other authorized users to document and manage ranch operations.
Ranch Command may process information related to ranch profiles, users, customers, hunters, harvest logs, surveys, animal markers, maps, receipts, documents, schedules, support requests, device sessions, and location-enabled field operations.
We do not sell ranch data, customer data, hunter data, user data, location data, or operational data.
2. Information We Collect
The information we collect depends on how you use Ranch Command, which features are enabled, and what information you or other authorized users enter into the Services.
We may collect the following categories of information:
Account and Access Information
We may collect information used to create, manage, secure, and support user accounts. This may include names, email addresses, phone numbers, login credentials, account roles, ranch assignments, membership or subscription details, account status, and related access records.
Ranch and Operational Information
We may collect information about ranches and ranch operations entered into the Services. This may include ranch profiles, ranch names, ranch locations, addresses, counties, acreage, map boundaries, property features, schedules, documents, notes, reports, and other operational records.
Customer, Hunter, Guide, and Contact Information
Authorized users may enter information about customers, hunters, guests, guides, employees, contractors, vendors, or other people connected to ranch operations. This may include contact details, addresses, hunting license information, customer history, harvest history, notes, and related records.
The ranch account owner or administrator is responsible for ensuring that this information is entered lawfully and with any required permissions.
Harvest, Wildlife, and Field Records
We may collect records related to harvest logs, wildlife management, surveys, animal observations, field activity, map markers, and related ranch operations. This may include harvest details, species information, tag-related information, survey records, animal or marker pins, field notes, timestamps, and related operational data.
Ranch Command is a documentation tool and does not provide legal, hunting, wildlife, tax, accounting, regulatory, or compliance advice.
Location, Map, and Survey Information
With device permissions, Ranch Command may collect precise or approximate location information to support map, survey, marker placement, offline map, and field-operation features.
Location information may be used to show a user’s position on a ranch map, place markers, document animal observations, support offline maps, and support future background field-operation features if enabled by the user and permitted by device settings.
Ranch Command does not sell location data.
Receipts, Documents, Images, and OCR Information
We may collect files, images, receipts, documents, and related information uploaded or captured through the Services. If receipt OCR or document-processing features are used, we may process receipt images and extracted details such as merchant, date, total, and related review information.
OCR and document-processing results may contain errors, and users are responsible for reviewing and correcting information before relying on it.
Device, Sync, and Technical Information
We may collect technical information needed to operate, secure, troubleshoot, and improve the Services. This may include device type, operating system, app version, platform, session information, login records, IP address, sync status, error information, diagnostic logs, and security-related records.
Support, Feedback, and Communications
We may collect information you provide when you contact Ranch Command, request support, submit feedback, report a bug, ask a question, or otherwise communicate with us.
3. Information Stored Locally on Devices
Ranch Command may store information locally on your desktop computer, phone, tablet, or other device. Local storage supports offline access, faster performance, field use, and sync when internet access is restored.
Local data may include account information, ranch data, customer records, harvest logs, survey records, map data, receipts, documents, settings, sync status, and other operational records.
Local data may remain on a device until:
the app is uninstalled;
app data is deleted;
the device is erased;
the user logs out and local data is removed, if supported;
a sync or deletion process removes it; or
the data is otherwise manually deleted.
If you delete the app, clear app data, lose a device, replace a device, or experience device failure before data syncs, unsynced data may be lost.
Cloud deletion does not necessarily remove local copies from every device that previously accessed the data.
4. How We Use Information
We use information to provide, operate, secure, support, and improve Ranch Command.
This includes using information for the following purposes:
Providing the Services
We use information to make Ranch Command’s features work, including account access, ranch profiles, role-based permissions, maps, surveys, harvest logs, receipts, documents, schedules, reports, offline access, and cloud synchronization.
Managing Accounts and Ranch Access
We use information to create and manage user accounts, authenticate users, maintain ranch assignments, support ranch switching, enforce permissions, manage subscriptions, and help ranch owners or administrators control access to their ranch accounts.
Storing and Syncing Ranch Records
We use information to store, process, display, back up, and sync ranch records between authorized devices and cloud services. This may include ranch operations data, customer or hunter records, harvest records, map data, survey records, receipts, documents, and related information entered by authorized users.
Supporting Field and Location-Based Features
We use location, map, and field data to support ranch maps, survey markers, animal or marker pins, offline maps, field observations, and related ranch operation features. If future background-location features are enabled, location may also be used for those field-operation purposes, subject to device permissions and user settings.
Processing Receipts, Documents, and Uploaded Files
We use uploaded files, images, receipts, and documents to provide file storage, receipt capture, OCR processing, review workflows, reporting, and related operational features.
Customer Support and Communications
We use information to respond to support requests, troubleshoot issues, process feedback, communicate with users, provide notices, and help resolve account or technical problems.
Security, Reliability, and Service Improvement
We use information to maintain security, prevent unauthorized access, detect abuse, fix bugs, monitor service performance, improve reliability, develop new features, and keep Ranch Command operating properly.
Billing and Business Operations
If paid billing features are enabled, we may use account, subscription, and payment-related information to manage plans, invoices, renewals, refunds, promotions, trials, and related business operations.
Legal Compliance and Enforcement
We may use information to comply with legal obligations, respond to valid legal requests, enforce our Terms of Service, resolve disputes, protect our rights, and protect Ranch Command, our users, and others.
5. How We Share Information
We do not sell ranch data, customer data, hunter data, user data, location data, or operational data.
We may share information in the following limited situations.
A. With Authorized Users in the Same Ranch Account
Information entered under a ranch account may be visible to the ranch owner, administrators, and other authorized users depending on their roles and permissions.
For example, a ranch owner or administrator may be able to view records entered by ranch managers, guides, employees, contractors, or other invited users.
If you enter data under a ranch account, that data may belong to or be controlled by the ranch account, not solely by you as an individual user.
B. With Service Providers
We may share information with vendors and service providers that help us operate the Services.
Current or expected service providers may include:
Microsoft Azure for cloud hosting and infrastructure;
Azure PostgreSQL for cloud database services;
Azure Blob Storage for file, image, receipt, or document storage;
Mapbox for map, location-display, and offline map features;
Tabscanner for receipt OCR or data extraction;
Google Apps Script and Google Sheets for feedback or support workflows;
Expo/EAS for mobile app build, deployment, or app infrastructure workflows; and
future payment processors if paid subscription processing is added.
These providers may process information only as needed to provide services to Ranch Command, subject to their own terms, privacy practices, and contractual obligations.
C. With Payment Processors
If Ranch Command adds paid online billing through a third-party payment processor, we may share information needed to process payments, invoices, renewals, refunds, fraud prevention, and subscription management.
Ranch Command does not intend to store full payment card numbers directly.
D. For Legal Compliance and Protection
We may disclose information if required by law, subpoena, court order, governmental request, legal process, or if we believe disclosure is necessary to:
comply with legal obligations;
protect Ranch Command;
protect users or third parties;
investigate fraud, abuse, or security issues;
enforce our Terms of Service;
respond to lawful requests; or
protect the rights, safety, property, or security of Ranch Command, users, or others.
We do not voluntarily sell or provide ranch, customer, hunter, location, or operational data to advertisers, data brokers, regulators, or law enforcement for their independent use.
E. Business Transfers
If Ranch Command is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to appropriate protections.
6. Sensitive Information
Some information processed through Ranch Command may be considered sensitive under certain privacy laws. This may include precise location data, hunting license numbers, government-related identification numbers entered by users, account credentials, and information about minors if entered by authorized users.
We use sensitive information only as needed to provide the Services, support user-requested features, secure accounts, comply with law, or as otherwise described in this Privacy Policy.
We do not sell sensitive information.
We do not use sensitive information for targeted advertising.
7. Location Privacy
Ranch Command uses location information to provide practical ranch and field features.
Location may be used for:
showing your position on a ranch map;
placing survey markers or animal sighting pins;
recording the location of field observations;
recentering the map;
supporting offline map use;
improving map usability in low-connectivity areas;
supporting ranch operations workflows; and
future background field-operation features if enabled by the user and permitted by the device.
You may disable location access through your device settings. Some features may be unavailable or less accurate without location access.
Ranch Command does not sell location data.
8. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, support security, and operate Ranch Command.
If a ranch account cancels or terminates its subscription, Ranch Command may retain cloud data for up to 60 days unless a different period is required by law, necessary for legitimate business purposes, or agreed in writing.
After deletion, backup copies may remain for up to 30 additional days before being deleted or isolated from normal use.
Certain records may be retained longer when required for legal, tax, accounting, security, fraud-prevention, dispute-resolution, or compliance purposes.
Local data may remain on devices until deleted from those devices.
9. Deletion Requests
You may request deletion of your account or personal information by contacting:

If you are an individual user under a ranch account, such as a guide, ranch manager, employee, or contractor, we may delete or deactivate your individual account where appropriate.
However, operational records created under a ranch account may remain available to the ranch owner or administrator unless the ranch owner or administrator requests deletion and deletion is legally and operationally permitted.
For example, harvest logs, customer history, survey records, map features, receipts, reports, schedules, or other ranch business records may need to remain part of the ranch account’s operational history.
10. Privacy Rights
Depending on where you live, you may have rights regarding your personal information. These rights may include the right to:
request access to personal information we maintain about you;
request correction of inaccurate personal information;
request deletion of personal information;
request a copy of personal information;
opt out of certain processing, if applicable;
withdraw consent where processing is based on consent; and
appeal a denied privacy request where required by law.

We may need to verify your identity or authority before fulfilling a request.
Some requests may be limited by law, business record obligations, security needs, legal claims, account ownership rules, or the rights of other users or ranch accounts.
Ranch Command does not sell personal information and does not use personal information for targeted advertising.
11. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information processed through the Services.
However, no method of transmission over the internet, cloud hosting, wireless network, mobile device, local storage, or electronic storage is completely secure. We cannot guarantee absolute security.
You are responsible for:
keeping account credentials secure;
using strong passwords;
limiting access to trusted users;
assigning roles carefully;
removing users who should no longer have access;
securing devices that store local Ranch Command data;
syncing important data before deleting app data or replacing devices; and
promptly notifying Ranch Command of suspected unauthorized access.
12. Children and Minors
Ranch Command is a business operations platform and is not directed to children under 13.
Users under 18 may use Ranch Command only with permission and supervision from a parent, guardian, employer, ranch owner, or authorized account administrator.
Ranch account owners and administrators are responsible for deciding whether minors may access the ranch account and for supervising any such use.

13. Cookies and Website Data
If you use our website, landing page, or future web dashboard, we may use cookies or similar technologies for basic site functionality, security, preferences, account access, and service operation.
Ranch Command does not currently use third-party analytics or crash reporting tools unless added in the future and disclosed as appropriate.
14. International Users
Ranch Command is operated from the United States. If you access the Services from outside the United States, your information may be processed and stored in the United States or other locations where our service providers operate.
By using the Services, you understand that your information may be transferred to and processed in the United States.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The updated policy will be posted in the app, on our website, or otherwise made available through the Services.
If changes are material, we may provide additional notice.
Your continued use of the Services after an updated Privacy Policy becomes effective means you acknowledge the updated policy.
